Job Summary:
Tilray is seeking a highly skilled Administrative Assistant to join our NYC team in person by providing administrative support to our Global General Counsel and members of the Executive Team. The ideal applicant will be an agile problem solver, who thrives in a fast-paced environment. The successful candidate will demonstrate superb attention to detail, sound judgement, and strong organization and time management skills. The person in this role must have a bias for action and be resourceful in their management of short and long-term deliverables. They must also demonstrate reliability and the ability to implement processes and move work activities through to completion.
Kindly note that this position is fully onsite to be based out of our NYC office at Park Avenue.
Salary: USD $75,000.00 - $80,000.00 annual + other perks and benefits
Roles and Responsibilities:
- Responsible for maintaining and updating legal entity charts and filings;
- Coordinating and processing legal invoices for attorney approval and payment.
- Process law firm invoices for appropriate review, approval and payment
- Maintain daily record keeping with electronic filing of documents and use of document management systems, including legal entity level management platform
- Create and organize information, and generate reference tools for easy use by the office
- Prepare and format strategic documents and reports
- Maintain and update databases and tracking systems
- Produce information by formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
- Maintain appointment schedules by planning/scheduling meetings, conferences, teleconferences, and travel
- Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
- Maintain confidence and protects confidential information
- Complete projects as assigned by executives, including T&E expense reports
- Contribute to team effort by accomplishing related results as needed
Qualifications:
- Office Administration or Business Administration diploma required
- At least two years office management/administration experience in a mid-large size office
- Equivalent combination of education and experience may be considered
- Must be a “power user” of Teams and PowerPoint; Proficient in Microsoft Office applications including Word, Excel and Outlook and expense platforms such as Concur.
- Ability to work under pressure with tight deadlines and confidential information in a fast-paced environment including support to senior leaders and executives
- Detail-oriented, exercises sound judgment and possesses exceptional written and verbal communication skills
